How to Add Your Email Signature in Apple Mail

  1. Open Apple Mail: Launch the Mail app on your Mac.
  2. Access Preferences: In the top menu, click on "Mail" and select "Preferences."
  3. Navigate to Signatures: In the Preferences window, click on the "Signatures" tab.
  4. Select Account: In the left column, choose the email account where you want to add the signature.
  5. Create a New Signature: Click the "+" button below the middle column to create a new signature.
  6. Name Your Signature: Enter a name for your signature in the middle column.
  7. Disable Default Font Matching: Uncheck the box labeled "Always match my default message font."
  8. Paste Your Signature: In the right column, paste your copied signature.
  9. Assign Signature to Account: To set this signature as the default for your account, select it from the "Choose Signature" dropdown menu.

Note: If images appear broken in the preview, this is a known Apple Mail issue. They should display correctly when composing a new email.

How to Add Your Email Signature in Outlook (Classic Desktop Application)

  1. Open Outlook: Launch the Outlook application on your computer.
  2. Access Options: Click on the "File" tab in the top-left corner.
  3. Navigate to Mail Settings: In the left sidebar, select "Options."
  4. Open Signatures: In the "Mail" category, click on the "Signatures..." button.
  5. Create a New Signature: In the "Signatures and Stationery" window, click "New" to create a new signature.
  6. Name Your Signature: Enter a name for your signature and click "OK."
  7. Paste Your Signature: In the "Edit signature" box, paste your copied signature.
  8. Set Default Signatures: Under "Choose default signature," select your new signature for "New messages" and/or "Replies/forwards" if desired.
  9. Save and Close: Click "OK" to save your signature and close the dialog boxes.

How to Add Your Email Signature in the "New" Outlook Desktop Application

  1. Open Outlook: Launch the new Outlook application on your computer.
  2. Access Settings: Click on the gear icon (Settings) in the top-right corner of the app.
  3. Find Signature Settings: Scroll down and click on "View all Outlook settings."
  4. Navigate to Compose and Reply: In the Settings panel, select "Mail" and then "Compose and reply."
  5. Create a New Signature: In the "Email signature" section, click in the text box to create a new signature.
  6. Paste Your Signature: Paste your copied signature into the text box.
  7. Set Default Signatures: Use the dropdown menus below the text box to assign the signature to "New messages" and/or "Replies/forwards."
  8. Save Changes: Click "Save" to apply your new signature.

How to Add Your Email Signature in Gmail

  1. Open Gmail: Navigate to Gmail and sign in to your account.
  2. Access Settings: Click the gear icon in the top-right corner and select "See all settings."
  3. Navigate to Signature Settings: In the "General" tab, scroll down to the "Signature" section.
  4. Create a New Signature: Click "Create new," enter a name for your signature, and click "Create."
  5. Compose Your Signature: In the text box provided, paste your copied signature.
  6. Set Default Signature: Use the dropdown menus to assign your signature for new emails and/or replies/forwards.
  7. Save Changes: Scroll to the bottom and click "Save Changes."
